Creating top level tasks

When you are defining the tasks that make up a project, your first objective should be to list the tasks that define the project's overall scope and its deliverables.  These tasks will become the summary tasks and milestones that provide strategic information about the project.  The simplest way to create these tasks is to list them within a task-based view.  To do this:

Just enter a suitable name within the 'Task Name' cell for row 1, confirmed with a tick on the entry bar.  This will create a one-day task starting on the project's start date (in this case February 2nd 2004).
Adding the three other top level tasks is simply a matter of entering names within successive rows.

This approach, of defining the top level tasks first, is known as top-down planning.

Inserting new tasks into a task list

Once you have defined the top level tasks, additional tasks (which will ultimately become the subtasks where the work is done) need to be added either at the base of the task list or within it.  The following four tasks; Ready to manufacture, Manufacture booth, Create signage and Design booth all need to be inserted into the task list between the top level tasks Exhibit area and Publicity campaign.  To do this:

Firstly, place the cursor below the desired insertion point.
Next, choose New Task from the Insert menu or press the insert key.  This will create a new blank row.
In the task name cell for this row, just enter 'Ready to manufacture' as the name for the new task, confirmed with the usual entry bar tick.

To add the three other tasks, simply insert new rows and enter appropriate task names within them.

As you have just added some detail to the project, don't forget to save it to disk.

Managing a task list

When you add tasks within a list, they aren't always shown in an ideal order.  Maybe, a task that is shown on row 22 should ideally be shown on row 12?  Within the Trade Show project, this is the case for the Design booth task, as this will be one of the first tasks to be accomplished and (ideally) it should be near the top of the task list.  To move this task:

Firstly, click on the row heading for the desired task, but don't hold the mouse button down.
Next, drag the entire row to its new position, as shown by the line cursor.
Then, simply drop the task in its new position, moving tasks below it onto successive rows.

Don't move tasks by selecting the task name cell and drag and drop that.  This action would simply overwrite one task name with another.  If this happens by accident, remember to use Undo.  Note also that you can only move tasks up and down within a list if the cell drag and drop function is enabled within the Options dialog box.
