With a Microsoft Office-type user interface, an Excel user can get to grips with Project using little more than the help system.

 

Within Project, a great deal of functionality lies beneath the surface.  An understanding of the functionality available will help users get much more from using Project correctly.

The help system within the latest version of Microsoft Project appears more difficult to use and less comprehensive than previous versions.

 

Microsoft has moved a lot of help and assistance for Office systems online.  Within the Office Online and Office Marketplace sites, plenty of help is available.

Users need to be project management experts before starting to use Microsoft Project.

 

Whilst background project management knowledge is certainly advantageous for Microsoft Project users, it isn't mandatory.  Users with a grasp of fundamental planning concepts will however be able to create more realistic and flexible project schedules.

Lots of users create simplistic Gantt charts in Project and then plan and schedule workload manually using Excel.  This is usually because users don't understand how the scheduling engine within Microsoft Project works.

I want to share a common resource pool between several projects using Project Standard.  Don't I just need to buy Project Server and connect the systems together?

 

As Project Standard can't connect to Project Server, you have two options; either use a shared resource project file (.MPP), or upgrade to Project Professional and move towards EPM.

Microsoft Project EPM

EPM is just a more powerful version of Microsoft Project with a common database format.

 

Properly configured and deployed, EPM provides much greater capabilities for an organisation than any previous incarnations of Microsoft Project.  With potential similar to ERP or CRM systems, an EPM deployment should correctly scoped, planned and managed.

Once installed, an EPM system can be up and running within 2-3 weeks.

 

Implementing EPM successfully is a project in itself.  In a medium-sized organisation, this project can last up to 3 months.  In a large organisation, 3-6 months is a common project duration.  In either case, a business case and stakeholder buy-in are essential.

Implementing EPM is merely a case of installing software and migrating existing projects.

 

Migrating existing data is way down the list of priorities.  Ensuring that the Project Server database maps to data structures within the organisation is key.  Enterprise-wide resource and skill determination usually comes next.  Project migration normally takes place once templates and standards are in place, late on in the implementation project's lifecycle.

My self-taught project managers have been using Microsoft Project successfully for years.  They will only need training on the EPM processes we create.

 

Although process-specific training is necessary, fundamental (and consistent) skills and abilities in using Microsoft Project are required also.  Provision for training to a required competency level should be factored into the overall EPM implementation budget.

We've got some spare disk space on an existing server.  The Project Server database can be installed alongside the other applications on that server.

 

EPM requires several applications running side by side to provide all the functionality available.  In medium-large implementations, this will often require more than one server, with a dedicated breakdown of services across the servers.
